Add tasks to a record and follow them in My Tasks
Create a task linked to any record, and follow all your tasks from My Tasks. Choose “Open” or “All”, and mark a task Complete when you finish it.
Steps
1From the record, open the Tasks tab and add a task.
2Type the name, and choose the type, priority, due date and assignee.
3Open My Tasks from the sidebar to see all the tasks assigned to you.
4Choose “Open” or “All” to hide or show completed tasks.
5Mark the task Complete. Reopening it sets it back to “To Do”.

Completed and open
The “Done” status, or any status the owner marks as closed, counts as completed.
Whether the filter starts on “Open” or “All” follows your “Hide completed tasks” setting. Switching the filter doesn’t change the setting.
The alert
The alert counter adds up your open tasks that are overdue, or due today or tomorrow. “Today” is calculated in your time zone, from Edit your profile, language, time zone and calendar.
Completing a task can run an automation. See How do automations (workflows) work? The complete guide.

A real example
The situation
Routine maintenance visits were being forgotten.
What they did
- They turned on due-date reminders for the “Visit date” field.
- Every technician starts their day from My Tasks.
The result
Overdue tasks show in red on the record’s badge, and no visit has been forgotten in two months.
A made-up company, to show the idea. The numbers are rounded.
Good to know
The tasks unit is a system unit that can’t be deleted, but you can add fields to it. A task’s assignee sees it in My Tasks, even if they aren’t the record’s assignee. Search in My Tasks is up to 200 characters. Someone who can’t see all tasks sees only the tasks assigned to them in a record’s tab. Did this guide solve it?
If not, we’ll ask what was missing.
