Save a filter to reuse or share

Save a filter with a name, and its sort if you want, and apply it to any view in the same unit. A filter is personal by default, and you can share it with the workspace.

Permission to view the unit
  • You need: Permission to view the unit

Steps

1
Build the filter in any view. See Filter records: every operator for each field type.
2
Open Saved filters, choose Save new filter, and type a Name.
3
Decide: turn on Include sorting? And keep Personal filter on, or turn it off to share with the workspace?
4
Press Save filter.
It shows in this unit’s list of saved filters.
5
Apply it in any table or Kanban of the same unit.

How it works

The list shows your filters and all shared filters, in alphabetical order.

If you turn off Include sorting, the current view’s sort stays when you apply the filter.

Two teammates applying the same shared filter may see different counts, depending on their permissions.

Renaming a field or a unit doesn’t break saved filters.

What to do
“Only the filter’s creator can edit it”
The filter belongs to a teammate.
Copy its conditions into a new filter of your own.
A shared filter disappeared
Its owner deleted it, or was removed from the workspace.

A real example

The situation

Every advisor rebuilt the same filter each day: Instagram clients who haven’t been called.

What they did
  1. The supervisor created the filter and shared it with the workspace as “Instagram, not called”.
The result

Every advisor applies it in one click, and sees only their own clients, as their permissions allow.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Only the filter’s creator can edit, rename, share or delete it.
The name is up to 255 characters, and doesn’t have to be unique.
Up to 5 sort keys and 50 conditions.
There’s no default filter that applies automatically, no way to hide a shared filter for one person, and no way to transfer a filter’s ownership.
Removing a member from the workspace deletes their filters, shared ones included.
