Act on several chats at once

Select up to 200 chats, then archive or unarchive them, mark them read or unread, or add or remove a tag.

3 min

Steps

1
Filter the list first to reach the chats you want.
2
Select the chats.
3
Press Archive, Mark read or Tag in the selection bar, or open More actions for Unarchive. For a tag, choose the tag you want.
The number of chats that succeeded shows, and any chat that failed shows with the reason.

How it works

Action
Notes
Archive / Unarchive
Applies to all of them or none.
Mark read / Mark unread
Each chat on its own.
Tag: add or remove a tag
Each chat on its own, and the tag carries over to the linked record. See Sort conversations with tags.

There’s no bulk assignment of chats from the inbox. A chat follows the person assigned to its record, so change the assignee from records or by redistributing.

If something goes wrong

What you see
Why
What to do
Some chats failed
You can’t see them, or the tag isn’t accepted on the chat.
Check the reason shown, and see Sort conversations with tags for the tag rules.

A real example

Basma Clinics
The situation

After a reminder campaign, 150 “Done” messages arrived from patients.

What they did
  1. The receptionist filtered by the session and today’s date.
  2. She selected the chats and marked them read, then added the “Confirmed” tag.
The result

She finished the task in one step instead of 150 clicks.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Up to 200 chats at a time.
A chat you can’t see shows as failed.
