Fill a template from client data with variables
Write the field’s name between double braces, such as {{first_name}}, and it’s filled from the client record linked to the chat. You can also read from a linked record, such as {{project.name}}.

Steps
{{ or choose the field from the picker, and it’s added, such as {{first_name}}.{{project.name}}.Allowed fields
Fields that aren’t allowed: relation, lookup, rollup, calculation, location, smart catalog, file and image. They have no single line of text to print. For a relation, use a field from the linked record, such as {{project.name}}.
Empty values
General template: a variable with no value is removed from the text, so {{name}} never reaches the client. You see the list of empty variables, so you can decide whether to send.
WhatsApp Cloud template: an empty variable blocks sending, because Meta doesn’t accept an empty value. Fill in the field first.
A chat that isn’t linked to a record, or is linked to a deleted record, is treated as having no values.
The sent text is saved with the message as it went out, so the chat history doesn’t change if the record changes later.
If something goes wrong
A real example
The visit reminder template needs the client’s name, the visit date, and the site name from the linked “Sites” record.
- They wrote: “Hello {{first_name}}, our next visit to the {{site.name}} site is on {{visit_date}}.”
Every client now gets the reminder with the right details for their site.
