Choose who runs a session and who sees its chats

Members are the employees linked to a specific number. They see the session in the list and get its disconnection alert. Which chats they see depends on their level in their role.

Active teammates in the workspace
  • You need: The Update permission on the channel’s row
  • Active teammates in the workspace.

Steps

1
Open WhatsApp Sessions and choose the session.
2
Press Select Users.
The Select Members window opens, with the Selected Members list.
3
Add or remove whoever you want, then press Confirm.
Members updated successfully shows, and the Members column changes.

What does each member see?

What they see combines their link to the session with their Read level on the channel’s row in the roles matrix:

Level
Sessions they see
Chats they see
Allowed
The sessions they’re linked to
Every chat in those sessions, plus the chats of clients whose records they own, on any session
Team-wide access
Their own sessions, and those of teammates in the same team
Chats of clients owned by anyone in their team
If responsible
The sessions they’re linked to
Only the chats of clients whose records they own
Denied
Nothing
Nothing

A chat that isn’t linked to a record is only seen by people at the Allowed level. So link the session to a unit, so every client has a record and an owner.

The workspace’s super admin always sees everything.

What happens when you change them?

Every change is recorded in the activity log, with the new list of members. Members get the number’s disconnection alert and alerts about WhatsApp restrictions.

If something goes wrong

What you see
Why
What to do
An employee can’t see the session
They weren’t added as a member, or their level is Denied.
Add them from Select Users, and check their role.
An employee sees the session but not new chats
The chats have no record, and their level isn’t Allowed.
Link the session to a unit, so new chats get records. For older chats, see How a chat becomes a client record.

A real example

Namaa Academy
The situation

4 salespeople share one number, and the manager wants each of them to see only their own clients.

What they did
  1. They added all 4 as members of the session.
  2. They set the WhatsApp Web read level to If responsible in the “Sales” role, and to Allowed in the “Supervisor” role.
The result

Each salesperson sees only their own clients’ chats, and the supervisor sees them all.

A made-up company, to show the idea. The numbers are rounded.

Good to know

To remove someone, confirm the list without them. You can leave the list empty, but then no one gets the disconnection alert.
An employee who isn’t linked to the session doesn’t see it in the list, even if their level is Allowed.
