Transfer a dashboard’s ownership or delete it

Hand a dashboard to a teammate when responsibilities change, with the option to stay on as an editor. Or delete it for good.

4 min
Before you start · for owners and managers
The dashboard’s owner, or the workspace owner
  • You need: The dashboard’s owner, or the workspace owner

Steps

1
To transfer ownership: from the dashboard’s ⋯ menu, choose Transfer ownership, then choose the New owner.
2
Choose whether you stay on as an editor with Keep me as an editor.
If you don’t, and you have no other share, you lose access to the dashboard straight away.
3
Press Continue, then Transfer ownership. You and the new owner get a notification.
4
To delete: from the ⋯ menu, choose Delete dashboard, then confirm in the Delete dashboard? window.

Deleting a dashboard can’t be undone from the interface. Its widgets and shares go with it; the records themselves aren’t affected.

How it works

The new owner must be active, have the dashboard view permission, and not be the current owner.

The previous owner gets a notification even if they transferred it themselves, and the new owner gets one saying they received it, in the “System” tab (see When you get a notification, and why).

Deleting removes the dashboard from its folder, and from everyone’s favorites and pins.

The action is recorded: see Track who changed what and when in Audit Logs.

If something goes wrong

What you see
Why
What to do
The member can’t be chosen, with a reason such as “This member’s role doesn’t include Dashboards access.”
They’re inactive, don’t have the dashboard view permission, or are already the owner.
Activate their account, or add the permission to their role.
Delete dashboard isn’t showing
You aren’t the owner.
Ask the owner or the workspace owner.
You lost the dashboard after the transfer
You didn’t choose to stay on as an editor.
Ask the new owner to share it with you.

A real example

Shield Security Co.
The situation

The sales manager is moving to operations.

What they did
  1. He transferred ownership of his 3 dashboards to the new manager, and stayed on as an editor.
The result

The dashboards kept working, and the new manager can delete and share them.

A made-up company, to show the idea. The numbers are rounded.

Good to know

You can only transfer to an active member who has the view permission.
