Start an automation when a new record is created

The trigger A new record is added starts the automation whenever a record is added to a unit you choose: a new lead, a deal, or a contract.

Before you start · 1 thing · for owners and managers
An existing unit

Steps

1
Open the automation and choose the trigger A new record is added.
2
Under Which records?, choose the unit to watch.
3
Add rules in Settings → Only records that… if you want to narrow down the records. For example: “Source is Facebook”. See Conditions: operators, relative dates, messages and language.
4
Add the steps, then try a Practice run and turn it on.

What triggers it?

It runs on a record any member adds from the app or the mobile app, or that comes from a form, an ad, the assistant, or an API integration.

Where the record comes from
Does it trigger the automation?
Added by hand from the app or the mobile app
Yes
A form, an ad, or an API integration
Yes
A record created by another automation
No, to prevent loops
An import from an Excel file
No

To run the automation on records that existed before it, turn on including existing records when you turn it on. See Turn on an automation and apply it to existing records.

Tips

If the form fills in the fields in stages, put a 5-minute delay step before the first message. That’s what the ready welcome template does.

To stop the same record getting the welcome twice, use Run an automation only once per record.

If something goes wrong

What you see
Why
What to do
I added records by import and the automation didn’t run
Importing from a file doesn’t trigger this trigger.
Run the automation on existing records from Turn on an automation and apply it to existing records, or create the records by hand.
A record created by an automation didn’t trigger a second automation
Automatic changes don’t trigger another automation.
In the first automation, add the action from Run another automation from inside an automation.

A real example

Namaa Academy
The situation

Clients from Instagram ads got no reply until a salesperson called them.

What they did
  1. The trigger A new record is added in “Leads”.
  2. A 5-minute Wait, then a welcome with Send a WhatsApp template.
  3. A call task for the assignee, due today.
The result

Every client gets a welcome within minutes, and the salesperson finds their task ready.

A made-up company, to show the idea. The numbers are rounded.

Good to know

It runs once for each new record. When you turn it on, you can run it on up to 2,000 existing records.
