Set which statuses a record can move to
Set rules for the status field: from “New” only to “Qualified”, and from “Qualified” only to “Won”. No one can skip a stage.
Before you start · 1 thing · for ownersA Status field in the unit
- You need: The permission to edit units
- The unit has a status field.
Steps
Editing all of the field’s options without sending the rules deletes them. Save the field from its settings screen so the rules are kept.
How it works
Saving the same status again isn’t a move. Setting a status for the first time on a record that has none, or clearing it, isn’t checked.
Rules are tied to the status ID, so renaming a status doesn’t break them.
Where they apply
When you edit a record, drag a card on the Kanban board, bulk edit, use the update action in automations or the assistant’s tools, and attach a document that changes the status.
When you attach a document with a status that isn’t allowed, the document is saved, the status doesn’t change, and an alert shows.
Where they don’t apply yet
The complete button on a task in Tasks, updating matching records in an import, and updating an existing client from lead ad forms.
If something goes wrong
A real example
Some employees move a client to “Enrolled” before they pay.
- They turned on Transition rules in the Status field.
- Each status allows only the next one: New → Contacted → Awaiting payment → Enrolled.
No client reaches “Enrolled” without going through payment.
