Edit a member, change their roles or deactivate them

Change a member’s name, phone, roles and team, or deactivate them so they’re signed out of all their devices straight away. You can’t edit yourself, or anyone with a higher rank than yours.

5 min
Before you start · for owners and managers
The “Edit users” or “Suspend or restore users” permission
  • You need: The “Edit users” or “Suspend or restore users” permission

Steps

2
Choose Edit user, edit the name, phone, User Roles or team, then choose Update.
3
To suspend a member, choose Ban User, then Confirm.
They’re signed out of all their devices, and they can’t sign in to this workspace.
4
To bring them back, choose Activate.
5
To set a new password for a member, enter it in the edit form. Only the owner can do this.

Two kinds of members

Kind
How they were created
What you can edit
Created by the workspace
Added from Add User with a password
Name, phone, roles and team
Joined with their own account
Accepted an invitation with an existing Corteksa account
Roles and team only. Their name, email and password are theirs

No admin can change a sign-in email. Members change it themselves, with a verification code. See Change the email you sign in with.

Who can edit whom

No one can edit themselves here. A regular member can be edited by anyone who has the permission. A super admin can be edited by the owner only. The owner is never edited here. Details in Member ranks: owner, super admin and member.

You can’t grant what you don’t have

You can’t give a member a role with a permission or a level higher than yours. See Delete a role, and the rules that keep roles safe.

If something goes wrong

What you see
Why
What to do
“You cannot change your own role or access. Ask another admin who can manage you.”
You’re trying to edit yourself.
Ask a teammate who has the permission.
“The workspace owner cannot be managed from here. Transfer ownership first.”
The member is the owner.
“Only the workspace owner can manage a super-admin.”
The member is a super admin.
Ask the owner.
“Only the owner can set another member’s password”
You aren’t the owner.
Ask the member to use Forgot Password?.
“This would leave the workspace with no one to manage roles”
The change removes the last person who manages roles.
Give someone else this permission first.

A real example

Namaa Academy
The situation

A salesperson moved to marketing.

What they did
  1. The director changed her role from “Sales” to “Marketing”.
  2. She moved her from the “Jeddah” team to the “Marketing” team.
The result

Her permissions changed straight away, and she no longer sees the sales clients.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Role changes apply straight away to open sessions.
You can’t deactivate the owner, or the last person who can manage roles.
Only the owner can set another member’s password, and doing so signs that member out of all their devices.
Deleting members in bulk isn’t available.
Deactivating a member changes the bill at the next renewal. See Upgrade or downgrade your plan, and how members are billed.
