Which campaign, ad set and ad each client came from
The campaign, ad set and ad fields fill in on their own for every client who came from an ad: Facebook and Instagram forms, and click-to-message ads on WhatsApp, Messenger, Instagram and TikTok.
The three fields
Client units have three read-only system fields: Ad Campaign, Ad Set and Ad. They work like select fields: you can filter by them, group Kanban boards and tables by them, and use them in dashboards.
What gets filled in, and when
The record keeps the first ad, the chat shows the latest
The record keeps the ad that first brought the client in, because that’s the number you measure your spend with. The chat in Cortex Chat shows a “From ad” badge with the last ad the client clicked, so the employee knows which offer they’re asking about. It’s normal for the two to differ, and nothing needs fixing.
When campaign names change
If you rename a campaign in Ads Manager, the name changes on every record on its own, without creating a new option. If two ads have similar names, the last 4 digits of the ad ID are added to one of them to tell them apart.
Read-only
Users, imports, automations and the assistant can’t edit these fields, so clients are never credited to an ad they didn’t see. The exception: your own system, through an API key, for ads on a platform Corteksa doesn’t connect to, such as Snapchat. These values show on the record only, and they don’t count in the campaign performance report.
Clients with no ad
To find the clients who didn’t come from an ad, filter the Ad field with the “Is empty” operator.
If something goes wrong
A real example
The clinics run “Message us on WhatsApp” ads and don’t know which ad brings in bookings.
- An “Ad” field showed up on every client who came from an ad.
- They connected Meta Ads, and the campaign and ad set filled in.
The table is now grouped by campaign, and they stopped a campaign that brought messages but no bookings.
