Public units: what visitors see on public forms
A public unit can show some of its records, and take submissions, through a public link. Learn what’s published and what stays private.

How it works
Switch the unit with Make Public or Make Private in its menu in Units settings. Switching doesn’t change the data.
Which records are published?
A record is published when its status is one of the “closed” statuses, such as Completed or Cancelled in the default options. Open records stay private. A unit without a status field publishes nothing. See Status field: a record’s stages.
Which fields show?
Sensitive fields never show to visitors: email, phone, WhatsApp number, location, file, photo, serial number, smart catalog, and Provider ID. Visitors can send values in them, but those values don’t come back when the record is read.
One exception: the file field has a Show files on public forms option, off by default. Turn it on for a cover photo or a brochure, and its attachments show as ready-to-open links.
A lookup field shows only if its source unit is public and its source field isn’t sensitive. Linked records from a unit that isn’t public don’t show.
A public form submission follows the duplicate rule, and the reply to the visitor is always the same, so it never reveals whether the person is already in your records.
Turning on Show files on public forms for a file field publishes its attachments to anyone with the form’s link. Don’t turn it on for contract or ID fields.
