System fields: date, your name, record link and page numbers

Ready-made fields that don’t come from the record: the print date, the name and email of the person printing, a link that opens the record, and the page number and page count.

How it works

A page number in the document’s body doesn’t print, not even its fallback text. Put it in the header or footer, or use page numbers.

In a header that shows once, the page number prints as 1. In a footer that shows once, the last page’s number prints.

Numbers print in Western digits 1 2 3.

The Record link works from any device signed in to your workspace. If the link can’t be built correctly, it stays empty, and a QR code with no value isn’t drawn. See Add a barcode or QR code, including one that opens the record.

In a document generated by an automation, “the person printing” is the person who created the automation.

A real example

Basma Clinics
The situation

The clinic wants patients to know who issued a letter and when.

What they did
  1. In the footer: “Issued by {{current_user.name}} on {{today_date}}“.
  2. Next to it, a QR code holding {{record_link}}.
The result

The receptionist scans the code, and the patient’s appointment opens straight away.

A made-up company, to show the idea. The numbers are rounded.

Good to know

The page number and page count work in the header and footer only.
